People

Leave, your organisation and help, where you already hire.

Once someone joins, Aptitude HR keeps working for them and their managers: their leave, their place in the organisation, their first day and help whenever they need it.

Employee leave

Leave that follows your reporting lines

Everyone applies for leave in the same place they work. The request goes to the people who should decide, with everything they need to decide it.

  • Apply in a few clicks

Choose the type, the days or half days, and see the days it takes and the balance left before sending. Holidays and days off are marked on the calendar.

  • Approved by the right people

A request goes to everyone the person reports to. With a decision maker, theirs is final; otherwise every manager approves. Nobody approves their own.

  • Balances worked out, never typed

Grants, monthly accruals, carry forward, expiry and HR's adjustments, less pending and approved days. A holiday added later corrects the balance by itself.

  • A calendar that respects the hierarchy

Managers see leave in their roles and the roles under them, never above. HR sees the whole company. Approvers see who else in the team is away.

  • Reminders and hand-offs

Approvers are reminded after two working days, and a request whose approvers have left goes to HR to decide.

  • Interviews know who's away

Approved leave keeps a panelist out of interview slots and bookings, and tells the round's decision maker and HR if a booked panelist won't be there.

Organisation

Your organisation, as a chart you can work in

Roles, teams and who reports to whom live in one chart. The same structure decides what each person can open and who approves their requests.

  • Roles you design

Each company builds its own roles in a hierarchy and chooses what each one may see and do. People can hold more than one role.

  • Change it on the chart

Drag people onto roles and roles under others. Every change is confirmed first and follows the same rules as the users list.

  • Teams and leads

Group people into teams under a role and give roles and teams a lead. Whoever joins reports to the lead without anyone setting it by hand.

  • Reporting lines

Draw who reports to whom, and mark one manager as the decision maker. Leave approvals follow these lines.

  • Nobody grants themselves more

People who change the organisation can only place colleagues in roles that allow no more than they can do. What a role may do stays with super admins.

  • Passwords stay personal

New colleagues and password resets get a single-use link. Nobody sets a colleague's password.

Onboarding

From the hire to a ready first day

When someone is hired, IT and the hiring team get what they need to have everything ready before the joining date.

  • A checklist for every hire

Your company's own checklist, or a sensible default. IT ticks the steps and marks the new hire ready to onboard.

  • Dates that move with the hire

A changed joining date or a withdrawn hire tells IT and the hiring team straight away.

  • Soonest first

Onboarding lists every hire by joining date, so the next person to start is always at the top.

Help centre

Help that knows each person's role

A guide to every page and an assistant beside it, for everyone in the company. Neither ever explains a page the person can't open.

How do I approve leave for my team?
Aptitude HR assistantOpen Leave requests, then Waiting for you. Each request shows the person's balance and who else in the team is away, so you can approve or reject with a comment.

Answers only cover the pages your role can open.

  • A guide to every page

Every page, section and button explained, showing only what the reader's roles allow. Each article opens with a link to the page itself.

  • Search that finds the answer

Search finds the section that answers the question, not just the article it sits in.

  • An assistant for their role

It answers from the same guide, so it explains only what the person can use, and says who can change their access when they ask about more.

  • Ideas reach us

Describe a feature you'd like and the assistant drafts the request. Nothing is sent until you confirm it, and you can follow it under Your requests.

  • Private by default

Each person's conversations are their own. Even Aptitude HR support viewing the portal as them doesn't see them.

  • Notified when it matters

A bell in the portal shows requests to decide, decisions and reminders. Emails can be turned down; the bell keeps everyone up to date.
